Responsibilities:
  • Provides comprehensive support for legal projects, ensuring all tasks are completed efficiently and deadlines are met.
  • Acts as a central point of contact between attorneys, clients, and internal departments, handling inquiries and relaying information with independent judgment.
  • Develops and maintains strong relationships with colleagues at all levels to foster effective teamwork, providing constructive feedback and resolving conflicts.
  • Assigns tasks to support staff (LSAs) and monitors progress, providing guidance and feedback for their professional development.
  • Drafts, proofreads, and finalizes legal documents and correspondence, and oversees the organization of electronic and physical filing systems.
  • Conducts legal and general research, compiling information for case preparation and executive briefings.
  • Manages calendars, schedules meetings, arranges complex travel, and coordinates all aspects of meeting logistics.
  • Oversees billing processes, acting as a liaison with the Billing Department to ensure timely and accurate processing of prebills and invoices.
  • Manages expenses and time entry for the attorney, ensuring timely and accurate processing by the appropriate teams.
Requirements:
  • Minimum of 5 years of experience in an administrative role, supporting upper-level leadership within a corporate or legal setting.
  • Excellent written and verbal communication skills in the native language, with the ability to convey complex information clearly and concisely. You are an effective listener who understands and addresses the needs of attorneys, clients, and colleagues.
  • Proven ability to handle confidential and sensitive information with the utmost integrity and discretion. You consistently demonstrate a high level of professionalism in all interactions.
  • Possess in-depth knowledge of legal processes, procedures, and document types. You are adept at providing a high level of administrative and legal support.
  • Proactively identify challenges and offer effective solutions. You take initiative to enhance your skills and are committed to continuous professional development.
  • Highly skilled in a wide range of legal and corporate software, including research tools, case management, accounting, and standard applications like Word, PowerPoint, and Excel. You are adaptable to new technologies, including AI-powered tools and virtual collaboration platforms like Zoom and Teams.
  • An expert at managing your time, prioritizing tasks, and multitasking efficiently in a fast-paced, demanding environment. Have a keen eye for detail and excel at planning and organization.
  • Thrive under pressure, maintain a positive and productive attitude, and are willing to adapt to the evolving needs of the legal practice.

 

Education: 
  • Required: High School Diploma or GED
  • Preferred: Bachelor’s Degree
